Creative Operations Coordinator/Manager

Note: Love Advertising has a hybrid work policy requiring weekly time in our physical office. This is not a remote position.

The Role

You’re the operational heartbeat for Creative Services. You’ll partner directly with Creative Services leadership to keep priorities clear, calendars tight, communication crisp, and projects moving. Day to day, you’ll coordinate schedules and resources across workstreams, manage vendor and PO logistics, track OOO and capacity, and handle the details that keep the team productive. You bring strong organization, clean communication, and proactive problem-solving, anticipating needs before they become issues.

What You’ll Do

  • Scheduling & coordination: Manage leadership calendars; prep agendas, capture decisions, and drive follow-ups. Protect focus time and anticipate conflicts.
  • Resourcing & OOO tracking: Maintain staffing sheets and weekly WIP across Creative Services; track OOO/PTO; flag conflicts early and propose coverage plans.
  • Team assignments: Partner with workstream directors and project managers to assign teams to projects based on skills, capacity, and timelines; update management tools accordingly.
  • Intake & trafficking: Help route briefs, proofs, and assets to the right owners while surfacing risks quickly.
  • POs & vendor logistics: Open and manage POs, gather SOWs, track invoices, and reconcile with Accounting; coordinate rooms, travel, and vendor bookings (photo/video as needed).
  • Comms & documentation: Draft clear emails, recaps, and updates; keep org charts, role lists, and process docs current and easy to find.
  • Reporting: Help build and distribute weekly dashboards (intake vs. capacity, on-time, rounds, key margin or scope callouts).
  • Operations support: Maintain templates, checklists, shared folders hygiene; onboard new hires and coordinate trainings.
  • Tech & tools: Handle basic AV/meeting setup; support tool access (Wrike/GSuite/SSO/licenses) and light troubleshooting; escalate to IT when needed.
  • Confidentiality: Handle sensitive information with discretion and sound judgment.

What You’ll Bring

  • 2–4 years in coordination/operations/production (agency experience a plus).
  • Organization & time management: You manage schedules, meetings, and priorities for yourself and leaders without dropping details.
  • Communication: Strong written and verbal skills; you write clean, executive-ready emails and capture actions precisely.
  • Proactivity & initiative: You anticipate needs, spot issues early, and bring options.
  • Calm problem solver: Comfortable juggling moving parts and deadlines; you keep teams informed and unblocked.
  • Tool fluency: Wrike/Asana/Monday/Airtable, spreadsheets, G-Suite or Microsoft 365; quick to learn new systems.
  • Technical aptitude: Comfortable with laptops/meetings/TV displays and figuring out practical ways to show work on screens.
  • AI-curious & process-minded: You pilot simple automations/AI to remove busywork, document what works, and use it responsibly (accuracy/privacy).
  • Discretion: Professional handling of people, plans, and confidential information.


Title level (Coordinator vs. Manager) will be calibrated to experience and scope.
